Summary of the Complaint Handling Procedure

Phenix Financial Group takes customer concerns seriously and when a customer has concerns or questions regarding their account, they should contact their representative promptly. Representatives aim to provide a high level of service to their customers and will work together with them and Phénix Groupe Financier to address their concerns. For customers who remain unsatisfied, Phénix Groupe Financier has adopted procedures for fairly and promptly handling verbal and written complaints received from its customers. This document is a summary of these procedures, which is provided to new customers and customers who file a complaint.

Customer Complaint Information Form

We also provide new and complaining customers with a document called the Customer Complaint Information Form, which contains general information about the various ways to file a complaint.

How to File a Complaint with Phoenix Financial Group.

Customers who wish to file a complaint with Phoenix Financial Group should send their complaint to our head office by calling our Customer Service at 514-333-4630 ext 500 and asking to speak to a Dispute Resolution Advisor, or in writing to 2540 Daniel-Johnson Blvd., Suite 710 Laval, Quebec H7T 2S3. They may also communicate with a Financial Center Director or their representative. All complaints are referred to a competent compliance officer or supervisor. We encourage customers to file their complaint in writing, if possible, by sending us a letter or email. If they are having difficulty putting it in writing, they can inform us and we will help them in the process. For confidentiality reasons, we will only do business with the customer or the person the customer has explicitly authorized in writing.

Complaint Handling Procedures

We acknowledge receipt of complaints as soon as possible, usually within five business days. This summary and the Customer Complaint Information Form will be attached to our acknowledgment of receipt. We fairly examine all complaints by considering all statements and relevant documents obtained from the customer, our records, the representative, other persons from our company and any other relevant source.

 

Upon completion of our review, we will send a response to the clients in writing. Our response may include a settlement offer, the rejection of the complaint with supporting reasons, or another appropriate response. Our response will summarize the complaint, report the results of our investigation, and remind the client of the possibility of contacting the Ombudsman for Banking Services and Investments (OBSI). Our response is usually sent to clients within 90 calendar days, unless we are waiting for additional information from them or if the case is unprecedented or very complex. We will respond to any further communications from the clients after the date of our response as needed to implement the resolution or address any new questions or information they provide
